Make your first AI workflow useful

1. Choose one business task
Start with a task you already understand and repeat often. Good candidates include drafting answers to common enquiries, turning rough notes into a proposal, or planning a week of marketing content.
2. Define the result
Write down the input, the output you need, and what you will check. Record how long the task usually takes so you can compare it with your new workflow.
3. Give the tool a clear brief
Use this prompt structure with your chosen AI assistant:
Help me with [task] for my [type of business]. The audience is [audience]. Use only these facts: [approved information]. Produce [format and length] in a [tone] tone. Do not invent prices, policies, availability, or results. If important information is missing, ask me before drafting.
4. Review before using
Check facts, tone, customer details, and any promises. Use sample or anonymised information while testing. Keep a person responsible for approving customer-facing work.
5. Measure and repeat
Compare the time spent drafting and checking with your usual process. Save the prompt and steps if they help. Improve one part at a time before expanding to another task.
